Administrative Officer

A full-time Administrative Officer at the Secretariat of the European Law Institute (ELI) is sought for the beginning of February 2018. We are looking for a committed addition to our young and dynamic team, who will be responsible for performing routine clerical and administrative functions, membership matters, assisting with finances and event management. We are offering flexible working hours, as well as an international and creative working environment. The duration of employment is 1 year with the possibility to extend. 

Tasks

The role of Administrative Officer at the European Law Institute’s (ELI) Secretariat ensures that administrative procedures which are essential to the running of the Secretariat and the ELI are handled smoothly. The position carries a great deal of individual responsibility and requires a candidate that can work independently as well as in a team. In addition to routine clerical and administrative functions, the Administrative Officer will be in charge of membership matters, assisting with finances and event management. He/she will have primary responsibility for preparing various reports, organising meetings and coordinating ELI events, such as the ELI Annual Conference and General Assembly. The Administrative Officer will also be tasked to provide overarching assistance to ELI Special Interest Groups (SIGs) and Hubs and alongside the Secretary General, actively encourage future events. The contract is subject to extension after the initial period of employment expires, in line with the applicable employment law.

Profile

In addition to excellent organisation, time management, written and verbal skills, the ideal candidate will be confident with IT and computer packages. He/she should take pride in accuracy and attention to detail. A-Levels are mandatory, a law degree or another equivalent degree with legal education is preferable. Knowledge of the Austrian institutional and bureaucratic system is required. Experience in office administration, finance and event management as well as excellent command of English and German is required (very good knowledge). Knowledge of any other foreign language is an advantage. Past practice at international organisations would be an asset.

Please note the salary scheme of the University of Vienna (§54 VwGr. IIIa) applies. The duration of employment is 1 year with the possibility to extend, depending on the candidate’s performance.
